General

What is Colega?

A meeting-room board for a building. You create your rooms, invite the people allowed to use them, and they book from their phone — a card per room, a day at a glance, one tap to take a slot.

It's built for buildings where everyone works for someone different: co-working floors, incubators, serviced offices. In those places there's no single company calendar to plug into, so Colega doesn't try.

Who is it for?

Whoever currently keeps the room diary — usually reception or a community manager. The honest competitor is the paper notebook by the front desk: free, instant, never down. Colega has to be faster than a biro or it isn't worth paying for.

What does it cost?

A flat monthly price per building. Not per seat — per-seat pricing forces a headcount conversation and triggers procurement, which is exactly the thing this product exists to avoid.

How long does setup take?

Minutes. You get a web address, you add your rooms and your people, and you're running the same day. There is nothing to install, no hardware to buy and no procurement step.

Rooms and booking

How do people book a room?

They open the web address, see a card per room with today at a glance, tap a gap and confirm. Two taps. Reception can also book on anyone's behalf from a grid that shows every room at once — that's the screen that has to beat the notebook.

What stops people booking rooms and not turning up?

Check-in. Ten minutes either side of the start, the booker gets a prompt by email (SMS is coming). One tap keeps the room. Miss it and the room releases itself and goes back on the board for anyone to use.

The display board shows HELD before check-in, IN USE after, and RELEASED · NO-SHOW if it lapses. A board reading "held by Andrés" next to a visibly empty room does the policing that a wall tablet used to.

Can I set my own opening hours?

Yes, per building, anywhere from 00:00 to 24:00. If you never close, say so and the day runs all the way round.

Can I say what's in each room?

Yes — a free-text line per room like 55" TV · Meeting Owl, shown on the room card and on the printed door card. It's plain text you control; Colega never connects to any device.

Do I need a tablet by each door?

No. Print a card per room — A5, A4 or A3 — and frame it by the door. Scanning the QR shows that room right now, free or busy, and lets someone book it on the spot or check in. A laminated sheet of paper is the entire hardware rollout.

People and access

Can I invite anyone, or do they need a particular email address?

Anyone. A law firm on the third floor, a freelancer on Gmail, a visiting team for the week. Because Colega isn't wired into anyone's Microsoft or Google account, there's no tenant to match and no domain to lock. If you can email them, you can give them a room.

How do people sign in?

They type their email and tap the link that arrives. No passwords exist in the system, so there's nothing to reset and no password database to breach. Sessions last 90 days, so nobody scanning a door card gets bounced into their inbox.

What about visitors who are only here for a while?

Issue a guest pass with an end date. They book exactly like a member until that day, then it switches itself off — their sessions end, their future bookings are released and they get an email. Nobody has to remember to revoke anything.

Can I remove someone immediately?

Yes. Deactivating a member ends their sessions everywhere at once and cancels their future bookings. It takes one tap.

Someone works out of two buildings on Colega. What happens?

Their sign-in email offers a link per building and they pick. Colega never guesses, and the sign-in form is never told where anyone is a member.

Calendars and privacy

Does it connect to Outlook or Google Calendar?

No, and it never will — that's the point. Calendar information only flows outward: an invitation attached to the confirmation email, and a personal feed each member can subscribe to once so bookings appear and disappear in their own calendar automatically.

Colega reads nothing back, holds no OAuth token and asks for no permission from anyone's IT department.

Can other people see what my meeting is about?

There's nothing to see. Every booking shows to everyone else as "Name's meeting". The database has no field for a subject, so there is no confidential meeting data in the system — which is also why competing firms in one building can share a board safely.

Can I hide who booked what?

Yes. The display board has a per-building toggle for names. In a members' club names build community; between competing firms they leak business intelligence. Your call.

IT and data

What does our IT team need to approve?

Nothing. There's no software to install, no browser extension, no directory integration and no access to any company's systems. Send them the security page — it's written to end the review in one read.

If your organisation runs a formal software assessment anyway, the IT approval pack answers its questions in the order the form asks them — and starts by helping you work out whether an assessment is required at all.

What data do you actually hold?

Per person: a name, an email and whether they're a member or an admin — plus an end date if they're a guest. Per booking: the room, the times, who booked it and when they checked in. That's it.

No meeting subjects, no calendar contents, no passwords, no card details, no location tracking.

Are there cookies? Do we need a consent banner?

One essential session cookie, and that's all — so no banner is needed. There's no advertising, no fingerprinting and no page-level tracking; product analytics are anonymous counts of actions.

Can we export or delete everything?

Yes, whenever you ask. A full export of your members, rooms and bookings, or complete deletion of the building and every record in it — normally the same week, within 30 days at the outside. No lock-in.
